Compare pricing models at today's headcount and the team you expect next year. A per-user bill rises with every person who needs access; a flat-team plan holds until you cross its included capacity. The quote must also show modules, branches, onboarding and support.
Separate the pricing model from the sticker price
A monthly figure is incomplete until you know what makes it move. Per-user software multiplies the seat price by every person who needs access. A flat-team plan includes a stated number of users, then moves when the business crosses that capacity or adds another site or service.
Neither model is automatically cheaper. The correct comparison uses your real users, branches and modules over the same period. Include staff who approve, supervise, count, reconcile and report—not only people who type transactions every day.
Calculate the bill at three team sizes
Write down the users you need now, after the next hire and at the end of the planned expansion. For per-user software, multiply each headcount by the seat price and add required applications. For flat-team software, use the plan price until the included limit, then apply the published extra-user or next-plan rule.
Repeat the calculation for branches. Some suppliers charge per company, register, location, database or device even when the headline says per user. Ask for the complete formula in writing.

Put the cost of missing access into the calculation
Per-user pricing can create a false economy when managers share logins, branch staff wait for someone else to enter work, or a decision-maker is left outside the system. That weakens permissions and audit history and brings spreadsheets back beside the software.
A price model should let every responsible person have their own identity and the smallest permissions they need. If the affordable quote depends on shared accounts, the saving is being borrowed from control.
Ask for one commercial page before deciding
Request a written summary with the plan, included modules, users, sites, devices, onboarding, migration, support, payment charges, contract term and every condition that can change the bill. Ask for the same calculation at your expected size in twelve months.
A transparent supplier should make the module-to-plan-to-price bridge visible before the sales call and explain any custom enterprise component separately.
