Every quote carries the date you said you would come back

A quote is not filed when it is sent. It sits in a stage with a next action and a date against it, and on that date it appears on somebody's morning screen. If it is accepted it becomes the job without being retyped, carrying the scope and the price that were actually agreed. If it goes cold it says so, with the number of days on it, rather than quietly ceasing to exist.

What this does

  • It puts a date on the follow-up, which is the whole of the discipline
  • It shows you which clients accept and which ones only ever ask for prices
  • It makes the work you already paid to win the cheapest work on the list

What it does not do

It does not find you clients, and it will not make anybody answer a quote they have decided against. What it changes is that you know which is which, on the day, instead of assuming the silence means no.

The job you have already won is cheaper than the one you are still chasing.

Most small firms here are excellent at the work and improvised at everything around it. The quote lives in a sent folder, the job lives in somebody's memory, and the invoice lives in a spreadsheet nobody opens on a Friday. Corelith does not make you better at the work. Nobody retypes a job into an invoice. Hours, parts, callout and any variation come off the card, the invoice raises against the client it belongs to, and the ZIMRA fiscal receipt signs as it completes. The job is closed by the invoice being paid rather than by somebody deciding it feels finished.

If you are registered for VAT here, the receipt you issue is a fiscal receipt whether you sold a fitting or four hours of somebody's Tuesday. Corelith is registered with ZIMRA to fiscalise directly against the FDMS, which is why the receipt signs from the invoice at your desk rather than through anybody else's box. Registered is not the same as endorsed, and we will not blur the two: ZIMRA does not approve, certify or accredit Corelith, and running it does not by itself make your business compliant.

The record exists because the work did

The invoice comes off the job card, and the fiscal receipt comes off the invoice. Nothing is entered a second time, so nothing can disagree with itself later.

We keep and produce the record. What your firm is obliged to file, and when, stays between you and your accountant — and we would rather say that here than have you find it out later.

“We are four people. This is for bigger firms.”

Four people is the size at which the chain starts breaking, because there is now more work in flight than one person can hold in their head. Start carries five users on one flat monthly figure, which for most firms this size is everybody, and the whole edition is in it — CRM, job cards, invoicing and fiscalisation.

“We already use a CRM.”

Most do, and it usually holds contacts well enough. What it generally cannot do is raise the invoice off the job, sign a ZIMRA fiscal receipt against it, and tell you what that job actually earned — so the client list lives in one place and the money lives in another, and reconciling them is somebody's Saturday.

“Our jobs are all different. Nothing standard fits.”

The pricing is different; the shape is not. A callout and a six-month engagement are both a client, a scope, a set of hours, some materials and an invoice. What changes is whether you bill on completion, on milestones or on a retainer, and all three are set up at onboarding on your own live work.

“Half our team is not office-based.”

That is the assumption the job card is built on. It is filled in on a phone at the property, works with no signal, and posts when the device finds a network. Nobody has to come back to a desk to record what they did — which is exactly the step that gets skipped.

Where you are registered for VAT, the receipt you issue is a fiscal receipt whether you sold goods or hours. Corelith is registered with ZIMRA to fiscalise directly against the FDMS, so the invoice you raise off a job signs its own receipt with nothing extra on your desk. To be exact about what that status is: registered to integrate is not approved, certified or endorsed, ZIMRA makes no claim about Corelith, and what your firm is obliged to file stays a question for your accountant.
