US$1.50 short at drawer 2 is entered with what the supervisor believes happened and who signed it off. The pattern becomes visible over a month; it does not accuse anybody of anything.

Who can sign off a difference, and up to what figure, is set once in roles. Above that limit it waits for the person who is allowed to see it.

A reversal keeps the original tender, the approver and the reason, so a refunded swipe is never a silent hole in the day's takings.

Notes wait for the banking run. A swipe sits in the day's batch with your acquirer. EcoCash sits in the merchant wallet. An account is not money yet. Pay holds each as taken, and separately as banked.

The merchant service charge and the mobile-money fee you agreed with your own bank are entered once and applied to every batch, so the figure that reaches the account is the figure Pay expects.

USD and ZWG are counted, banked and reconciled on their own. Pay shows both side by side; it will not merge them into one number nobody can take to the bank.

The tender mix

A sale that arrives in four pieces is still one sale

Most systems make the cashier choose one tender and then quietly record a fiction. Pay records what actually happened: US$10.00 in notes, US$8.00 by EcoCash, US$4.20 left on account — three tenders, one receipt, one balance that is either zero or visible.

  • Each tender keeps its own name, currency, amount and reference
  • Part-payments leave a balance on the invoice, not a rounded figure
  • A tender taken with no reference goes to a queue, not into the total

The rate of the day

The rate is set once, by a named person, and stays on the sale

It is entered in the morning and stamped onto every receipt written under it. When it changes, the old one stays on the sales it priced, so a receipt from Tuesday still reads correctly on Friday — and change handed back in the other currency is recorded as a fact rather than a rounding.

The statement is read line by line against settlements Pay already recorded. Same amount, same reference, same day — matched, and gone from your morning. What is left is a short list, and each item on it is either waiting for something or waiting for you.
